Job Description

As a Lease Administrator in the Expansion function, you will be responsible for securing contract execution, documentation, and supporting the Leasing and Legal team with contract handling and documentation. This role involves maintaining the administration of contracts, setting strategies for documentation handling and rental payment follow-up, collaborating with various teams to provide data and key dates, and assisting in portfolio management from an administration perspective.

Responsibilities

  • Coordinate and secure routines for contracts and document handling
  • Ensure all contracts are signed correctly and follow up on execution
  • Advise on missing data or information to ensure data accuracy
  • Responsible for transmitting odd documents, reports, and notices
  • Provide data audits on co-tenancy, key dates, rent terms, etc.
  • Collaborate with various teams to verify lease information and provide support
  • Coach and train expansion functions for correct data input
  • Set strategies for documentation handling, data loads, and rental payments
  • Stay up to date on Group routines and propose improved ways of working
  • Develop supporting documentation for markets
  • Collaborate with other departments to provide or confirm lease data
  • Prepare Annual Rent Budgets and Quarterly Forecasts
  • Review, analyze, and recommend solutions to decrease rent-related costs
  • Collection of Construction Allowance and Late Delivery Fees

Qualifications

  • Bachelor’s Degree in Business Administration or related field
  • 3+ years of experience in lease administration or contract management
  • Legal and numerical understanding
  • Organized and structured
  • Accounting and numerical skills
  • Teamwork and collaboration skills
  • Proficiency in MS Office
  • Strong control and administration of documents
  • Detail-oriented and able to multitask
  • Positive attitude and open to feedback
