Job Description
Hiring Receptionist in Gainesville, who are first point of contact for our Administrative Office, the Receptionist sets a welcoming, professional tone for all visitors and callers. This role works closely with executives and key staff to keep the front office running smoothly day to day.
Key Responsibilities
- Answer phones professionally, take accurate messages, and route calls to the right person
- Greet and announce all Gainesville visitors via phone, email, or paging system
- Sort and distribute incoming mail; ensure all outgoing mail is dispatched daily; sign for deliveries (FedEx, UPS, Airborne, Corporate Express)
- Manage the conference room reservation calendar and communicate room status or changes to relevant staff
- Manage the CFO's Outlook calendar
- Maintain office supply inventory and place orders as needed
- Track open Purchase Orders, confirm deliveries to staff, and route approved POs to Accounts Payable
- Provide administrative support to departments and assist with special projects of Gainesville as needed
Qualifications
- High School Diploma required; Bachelor's degree strongly preferred
- Minimum 1 years of experience in a receptionist or similar administrative role in Gainesville strongly preferred
- Excellent verbal and written communication skills; solid knowledge of office procedures and calendar management
- Detail-oriented, punctual, and dependable
- Proficient in Microsoft Outlook, Word, and Adobe Acrobat
