Job Description

Join Our Team as a Receptionist in Phoenix

We are currently seeking a dedicated and friendly Receptionist to be the first point of contact at our Administrative Office in Phoenix. This role is essential in setting a welcoming and professional tone for all visitors and callers.

Key Responsibilities

  • Answer phones professionally, take accurate messages, and route calls to the right person
  • Greet and announce all Phoenix visitors via phone, email, or paging system
  • Sort and distribute incoming mail; ensure all outgoing mail is dispatched daily; sign for deliveries (FedEx, UPS, Airborne, Corporate Express)
  • Manage the conference room reservation calendar and communicate room status or changes to relevant staff
  • Manage the CFO's Outlook calendar
  • Maintain office supply inventory and place orders as needed
  • Track open Purchase Orders, confirm deliveries to staff, and route approved POs to Accounts Payable
  • Provide administrative support to departments and assist with special projects of Phoenix as needed

Qualifications

  • High School Diploma required; Bachelor's degree strongly preferred
  • Minimum 1 years of experience in a receptionist or similar administrative role in Phoenix strongly preferred
  • Excellent verbal and written communication skills; solid knowledge of office procedures and calendar management
  • Detail-oriented, punctual, and dependable
  • Proficient in Microsoft Outlook, Word, and Adobe Acrobat
