How it's calculated
- Each day: clock-out minus clock-in, minus the unpaid break, in minutes. With quarter-hour rounding, each punch moves to the nearest 15 minutes first.
- Minutes become decimal hours (minutes ÷ 60), rounded to the cent of an hour.
- Hours over 40 in the week are overtime. With a daily rule, hours over the daily limit are overtime first and the weekly limit counts only regular hours, so no hour is paid twice.
- Pay: regular hours times your rate, overtime hours times 1.5 times your rate, double-time hours times 2.
Example: five days from 8:00 to 5:00 with a 30-minute lunch are 42.5 hours. At $18 that is $720.00 for 40 regular hours plus $67.50 for 2.5 overtime hours: $787.50.
Frequently Asked Questions
How do I calculate the hours I worked?
For each day, take the clock-out time minus the clock-in time, then subtract unpaid breaks. 8:00 a.m. to 5:00 p.m. with a 30-minute lunch is 8.5 hours; five of those make 42.5 hours, which at $18 an hour is $787.50 with 2.5 hours of overtime.
How do I turn minutes into decimal hours?
Divide the minutes by 60: 15 minutes is 0.25 hours, 30 minutes 0.5, 45 minutes 0.75. So 7 hours 45 minutes is 7.75 hours.
Are breaks paid?
Under federal law, short breaks of about 5 to 20 minutes are paid work time, and a meal break of 30 minutes or more when you are fully relieved of duty can be unpaid. Some states require meal or rest breaks; check your state labor department.
What is the 7-minute rule?
Employers who round punch times usually round to the nearest quarter hour: 1 to 7 minutes rounds down, 8 to 14 rounds up. Clocking in at 7:53 and out at 4:08 with a 30-minute break rounds to 8:00 to 4:15: 7.75 hours instead of 7.75. Rounding is legal only if it evens out over time.
How is overtime split on a time card?
Hours over 40 in the workweek are overtime at time and a half. In California, hours over 8 in a day are overtime too: four 10-hour days are 32 regular and 8 overtime hours, $792.00 at $18 an hour.
